Privacy Policy
Your privacy matters. Here is, in plain language, how we handle your personal information.
This English version is provided for convenience. In case of any discrepancy, the French version prevails.

1. Who we are
KiloTax is an app operated by Ontadigital, a business registered in Ontario, Canada (“KiloTax”, “we”). We are responsible for the personal information you entrust to us. We collect only what is necessary to operate KiloTax, and we never sell your personal information.

2. Information we collect

We do not collect your Social Insurance Number, health data or banking information.
3. Location
Location is used only to record your trips and calculate their distance. KiloTax asks for your permission through your phone’s prompt before any access. Background tracking is only active if you turn it on; you can pause or turn it off at any time. We do not use your location for advertising or profiling.
4. Why we use your information
- To create and manage your account.
- To record your trips and expenses.
- To estimate your deductions and produce your reports and expense claims.
- To manage your subscription.
- To keep the service secure and fix errors.
- To respond to your support requests — support code and technical information you choose to include.
- To improve KiloTax using aggregated, anonymized statistics.
- To send you tips and news, only if you have agreed to it.
- To meet our legal obligations.
We make no automated decisions that have a legal effect on you: tax estimates are indicative calculations that you check yourself.
5. Your consent
When you sign up, you accept the Terms of Use and this Policy by checking a box; we record the date, time and version accepted. Promotional emails have their own optional box, unchecked by default. You can withdraw your consent at any time in Settings; some features may then no longer be available.
6. Who we share your information with
Only with service providers that help us operate KiloTax and are contractually bound to confidentiality and security obligations: Supabase (hosting and authentication, servers in Canada), Apple and Google (distribution and payment), and Amazon Web Services (account-related emails, servers in Canada). Maps and addresses are displayed using the Apple or Google mapping services on your phone. When you export a report, you choose who receives it. We may also disclose information when required by law.
7. Business accounts and drivers
When a business uses KiloTax to manage its fleet, it decides which driver data is collected; KiloTax processes that data on its behalf. Tracking only starts after the driver has been informed and has accepted. If a driver deletes their account, their personal information is erased, but trips and expenses related to company vehicles remain in the business’s records. If the business closes its account, fleet data is deleted and drivers are informed.
8. Where your data is stored
KiloTax is designed, built and hosted in Canada. Much of the data of self-employed workers and employees stays on their phone; account, subscription and fleet data are hosted on servers located in Canada. Before any transfer outside Quebec or Canada, we assess the protection offered, as required by Law 25, and put contractual safeguards in place.
9. Retention
- Account, trips, expenses, receipts: while the account is active, deleted when the account is deleted; backups are erased automatically within 30 days at most.
- Billing history: 6 years, for our accounting and tax obligations.
- Proof of consent: for the life of the account, then 3 years.
- Support conversations: 2 years.
10. Security
We protect your information with appropriate measures: encrypted connections, encrypted passwords, per-account access rules on our servers and access limited to the people who need it. If a confidentiality incident presents a risk of serious injury, we will notify you and the relevant authorities, and we keep a register of such incidents.
11. Your rights
You can access your information and obtain a free copy, have it corrected, withdraw your consent, delete your account and file a complaint with an authority. Subscribers can also export CSV and PDF at any time in the app. To exercise your rights, write to supportkilotax@ontadigital.com; we reply within 30 days.

12. Minors, changes and contact
KiloTax is reserved for people who have reached the age of majority in their province. If this Policy changes significantly, we will inform you in the app or by email and ask you to accept it again.
